Executive Assistant to the Legal Director

Job Purpose
Supports the Legal & Compliance Director with administrative and operational tasks, managing schedules, correspondence, and documentation, and ensuring smooth operations within the Legal & Compliance department.

Key Roles and Responsibilities

  • Provide executive support to the Legal & Compliance Director, including managing calendars, scheduling meetings, and coordinating travel.
  • Draft, proofread, and manage legal and compliance-related documents, reports, and presentations.
  • Organize and maintain the Legal Director’s files, ensuring easy access to important documents.
  • Liaise with internal and external stakeholders on behalf of the Legal & Compliance Director.
  • Coordinate meetings, including preparation of agendas and ensuring timely follow-ups.
  • Handle confidential information with discretion and always maintain confidentiality.
  • Assist with preparing legal documentation and reports for internal and external use.
  • Perform research and gather information as required by the Legal & Compliance Director.
  • Support the department with administrative tasks, such as organizing events or maintaining records.
  • Assist in managing legal and compliance workflows and deadlines.
  • Participate or lead ad-hoc projects that may go beyond formal accountabilities to satisfy and respond accordingly to business needs
  • Proactively manage Health & Safety process and procedures to achieve the company ambition of ‘0 Lost Time Injuries’ and to continuously improve the company's Health & Safety performance
  • Ensure compliance requirements are met through organizational and procedural measures including implementation of Group guidelines, performing trainings, monitoring compliance etc.

Qualifications and Experience
Education

  • Bachelor’s degree in business administration, law, or a related field.

Experience

  • 3-5 years of experience in an executive support or administrative role, ideally in a legal or compliance environment.

Technical Skills

  • Proficiency in office software (Microsoft Office, etc.).  
  • Strong organizational and time-management skills.  
  • Excellent written and verbal communication skills
