Export Operations Specialist
Job Purpose
To support the Export Department in executing FOB (Free on Board) shipments for Heidelberg Materials Trading. The role focuses on precise documentation, coordination with port and customs entities, and ensuring cargo is delivered alongside the vessel in a timely and compliant manner.
Roles and Responsibilities
1.FOB Shipment Coordination & Port Operations
- Execute and monitor all operational steps for FOB shipments, ensuring cargo is cleared, delivered to the port, and loaded onto the nominated vessel on time.
- Coordinate directly with Stevedores to manage port handling, loading schedules, and draft surveys (for bulk cement/clinker).
- Liaise with the Customs Clearance Agent to ensure smooth processing of export declarations and port gate-in procedures.
- Track vessel arrival and berthing schedules, updating internal stakeholders on any changes or delays.
2. Export Documentation & Banking
- Prepare, verify, and process the full set of export documents (Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin, etc.).
- Handle the submission of original shipping documents to Banks for collection purposes (Cash Against Documents / Open Account), ensuring all bank checklists are strictly followed.
- Ensure all documents are free of discrepancies to guarantee smooth payment release from the trading entity.
3. Customs & Regulatory Compliance
- Coordinate with the Customs Clearance Agent to finalize export customs declarations and ensure compliance with Egyptian export regulations (including Nafeza/ACID system filings).
- Verify that customs documentation matches the physical cargo specifications (weights, HS codes, and packing).
- Maintain an organized archive of all customs, port, and bank documents for auditing purposes.
4. Stakeholder Communication & Reporting
- Act as the operational point of contact between Heidelberg Cement Egypt and Heidelberg Materials Trading (HMT) regarding shipment status, documentation, and loading updates.
- Prepare and distribute shipping instructions, loading reports, and daily port status updates to the Export Manager.
- Assist in resolving day-to-day operational bottlenecks at the port or with customs authorities.
Job Qualifications
Education
- Bachelor’s degree in Logistics, Business Administration, International Trade, or a related field.
Experience
- 1–2 years in export operations, port logistics, or shipping (experience in bulk commodities or building materials is a strong plus).
Technical Knowledge
- Solid understanding of FOB shipping terms and the division of responsibility between seller and buyer.
- Knowledge of export documentation required for bank submission (CAD or Open Account).
Skills
- Strong communication skills to interact with banks, HMT, customs, stevedores, and clearance agents.
- High attention to detail and ability to work under tight shipping deadlines.
- Proficiency in MS Office (Excel, Word, Outlook); experience with SAP/ERP systems is an advantage.
- Fluency in English (written and spoken) is required.
